System-Down Forms
In the unfortunate instance of Aleph being unavailable, it is still possible to sign out books to patrons manually using the 'System Down' forms. These forms are found with the other forms at the Circulation Desk.
The author, title, barcode and call number of the item being loaned is recorded on the form, as well as the patron's name, ID number, barcode, status, and the due date of the item (depending on the patron's status on the ID card). The form is to be initialled by the staff member and placed in the designated area until Aleph is up and running again.
It is imperative that the form is completed meticulously and in its entirety. We don't want to sign out a book to the wrong patron!
Once Aleph comes back up, each transaction must be entered into the system manually:

- If it has been more than a day, the checkout date does not need to be changed, however the due date does. See "Override Date" under "Check-In" further in this chapter.
- Type the patron's barcode in the field where cards are normally scanned.
- Type in the item barcode.
Watch the screen to ensure the correct items are going on the correct patron's record.
- The staff member entering the information must initial the form in the space provided.
- Retain the form for verification by another staff member.
