Preparing Notices - Final letter
Final letters are sent two weeks after the second notice. This letter will alert the patron that the item is now considered lost and will include the replacement cost (see “Finding Replacement Costs” below).
To find out if you need to send a final letter:
- Look for sign-out cards at the Circulation desk that have had a second notice sent.
- Check the ‘nos’ date. If two weeks have passed, follow the instructions as outlined for other notices.
- Search for the item to ensure it has not been returned.
- If you cannot find it, write ‘nos’ on the card and the date you searched.
- Make sure to note in the email that this is a final notice.
- If you are mailing the notice, attach the letter to the copy of the sign-out card:
- Print the letter on SMU letterhead.
- Keep the orange card on the sign-out card and re-file it at the Circulation desk.
- Write ‘Final Letter’ on the part of the orange card at the top of the sign-out card.
