Finding Replacement Costs
Many periodicals will have the subscription fees inside. Sometimes it is on the back of the table of contents, the back of the front cover, or on the inside of the back cover. If you cannot find a price, ask the staff in Acquisitions.
If the cost is for a single issue, divide the subscription fees by the number of issues produced for the year.
Add a $20 processing fee to each item.
Be sure to convert other currencies to Canadian dollars before adding the cost to the patron record. A good conversion website is www.xe.com.
Adding the Replacement Cost to the Patron's Record in Aleph
To add the replacement cost:
- Go to the ‘Patron’ tab in Aleph.
- Click on ‘Cash’ on the left hand menu.
- Click the ‘New’ button on the right.
A new window pops up.
- In the ‘Sum’ field, enter the amount owed.
- In ‘Description’, enter ‘Periodical Replacement Cost’:
- Click ‘OK’.
- You will now see the new charge, and the description for the charge, on the patron’s account:
- If the patron returns the item, go into the account and waive the cost. In the waive comment, say “Patron returned item” and put your initials.
- Only waive the cost if it is for a SMU item.
