Creating and Formatting New Labels
Creating New Labels
The desktop of the Circulation computers will have an internet bookmark saved called ‘Spine Labels’. Open this link and you will see a webpage that matches the image below, or you can enter the following address in the address bar, or simply follow it as a link:
http://library.smu.ca/cat/spinelabels/
This program allows you to enter up to 48 barcodes and will convert them to the corresponding call numbers upon clicking 'Submit Query'. To begin, simply scan the barcode of each item and click 'Submit Query'.
You will now see a list of all the scanned barcodes and their call numbers.
Note: If a call number does not appear beside its barcode, check the item in Aleph. If the message 'Remote Service Error (c0461 by-barcode 21) Unable to find item' appears, place the item on the 'Unlinked Items' shelf at the circulation desk instead of relabeling it.
Formatting Call Numbers In Word
There is a pre-formatted template in MS Word! Click on the first link at the bottom of the screen titled: 'Output spine labels pre-formatted in MSWord for Brodart 55-345-005 labels' and Microsoft Word should automatically open with the Spine Labels document and the pre-formatted call numbers for SMU items.
There is a set format for the appearance of call numbers. Please do not change the format of the Spine Labels document (i.e. resizing label margins, font or font size). Call number labels should look like the examples below (obviously without the notes in brackets!).

- Once the call number is pasted into a blank label, enter lines so that the call number is almost at the top of the label (usually one line from the top, or labels will print right on the line on the label printer sheets).
Note: You will need to add the volume number in Word if you are relabeling an item from a part of a series as it will not appear in the list of barcodes and call numbers.

Very important reminders!!!!!!
- DO NOT CHANGE THE PRE-FORMATTED LABELS!
- All labels are at the same height on the label sheet.
- Labels are always Arial 14pt font.
- Each element of the call number appears on its own line and is stacked vertically.
- All labels are left justified.
- Do not deviate from the above format. If for some reason a call number will not fit on the blank label, please ask a Supervisor for assistance.
- Never save anything under the Spine Labels Master. This form should always be blank for the next person. If you do need to save your labels, save them in the Relabeling folder on the 'S' drive under Circulation in your own name (please keep just one file under your name). Delete the file when you are finished with it.
- Be sure to sign your name or initials on the yellow relabeling slip.
