Supervisor Functions
This section describes procedures only to be done by a Supervisor.
Voiding Credit Card Transactions
Supervisors Only
A purchase correction must be done while the batch is still open (i.e. on the same day):
- Press the ‘ADMIN’ button.
- Choose ‘TRANSACTION’, then press OK.
- Press the ‘F1’key to scroll down to ‘VOID-PURCH’. Click OK.
- Swipe the ADMIN Card.
- Enter the amount of the transaction to be voided.
- Swipe the card(or enter Credit Card #) and click OK.
- Enter the ‘Authorization’ number on the receipt for the original transaction.
- If the Authorization number is a combination of letters and numbers, press the numeric key corresponding to the letter and press the 'Admin' key until the required letter is displayed. When you are finished, press OK.
Example: The numeric key ‘1’ corresponds with the letters ‘Q’ and ‘Z’. To get the letter ‘Z’, press the ‘1’ key, then Admin and you will get ‘Q’. Press Admin again, and you will get ‘Z’.
Two copies of the ‘Purchase Correction’ receipt will be printed
- The Card Holder copy must be signed by the Staff member and given to the patron. Put the Merchant copy in the receipt box.
To void a transaction from a previous day, we have to go through Financial Services, which will likely involve consultation with bank staff.
Voiding Debit Card Transactions
Supervisors Only
The process of voiding a Debit card transaction is similar to the Credit card procedure. The difference is that after entering the Authorization number, the terminal is handed to the patron who must confirm the amount and account type, and complete the verification process.
If the original transaction has been rung in on the Cash register, it should also be voided (see “Cash Register Operation”).
