Clearing Old Fines Under $10
Now that you have a workable list of fines owed, you can go to Aleph and clear the fines under $10 owed only to SMU that are five or more years old.
Open the Aleph Circulation module and go to the Patron tab. Open your current year under $10 file in Excel. If you do not want to print the waive receipts, right click on the printer icon in Aleph on the bottom right-hand corner and choose ‘Preview’.
- Copy and paste the student number from the Excel file into the text box on the top left-hand corner of the Circulation module.
- If you get the message “Unable to find Global Patron Information” try searching by the student’s name.
- Click on ‘Cash’ on the left-hand menu.
- Hold down the ‘Ctrl’ key on the keyboard and highlight SMU fines owed that are five years old or older.
Make sure you only waive SMU fines.
Never waive another institution’s fines unless given prior permission from that institution.
- Click on ‘Waive’ on the left-hand menu.
- A box will pop up asking for the reason for the waive. Type “Cleanup”.
- If you chose not to print receipts, a window will pop up displaying the receipt that normally prints. Click ‘Close’, and the receipt will not print. If you chose to print the receipts, make sure the receipts are put in the shredder box as they contain personal information. The shredder box is located in Library Administration.
- Note: If the cash amount is down to 0, and the patron’s account has expired, clear any other blocks on the patron’s record. Clean, expired records will eventually be purged from the database.
