Packaged BARA Items Returned to SMU
Each morning, the Inter-University book truck delivers books and packages to SMU from Metro libraries (Halifax Public library, Universities and Community Colleges). Some of these may be BARA Returns. We may also receive BARA Return items for SMU through courier or regular post.
You should have an idea of the items arriving because of the email messages you receive prior to their arrival.
BARA items being returned to SMU will arrive packaged in Jiffy bubble envelopes and clearly addressed as ‘BARA Returns’. The staff member processing the book truck bins will place these envelopes on the ‘BARA Return’ shelf at the Circulation desk.
These parcels can stay on that shelf, to be retrieved by the BARA staff member when she is ready to process them. If space is tight, the parcels can be taken to the back office. There is a bookcase beside the computer station where the BARA staff member processes these books. Place them on the appropriate shelf. Do this only if you are certain you are putting them in the right place!
The designated staff member will retrieve the item and proceed to process it on the BARA Notification web page.

- Login to the BARA Notification web page: http://bsod.library.ns.ca/bara/ : User Name: smu and Password: smu
Click on the ‘Receive’ tab.
In Aleph:
Back to Circulation procedures
- Here you will see a list of items that were processed through the ‘Check In’ tab and we are expecting to be returned.
- Find the item in question and check its box. Verify info to be sure you are receiving the correct item.
- If you can’t find the item in question, perhaps it was not correctly processed through the ‘Check In’ tab. After verifying the book in hand is not on the list, you will need to complete the Check In process, as described previously in this chapter, before continuing.
- Click on the ‘Change Status of Marked Records to Received’ button, to remove the item from the list and complete the item’s journey in the BARA Notification web page.
- You can click on multiple items in this screen, before clicking the ‘Change Status’ button. However, if you have a stack of books to receive, it may be easier to find the next item if you clear them out as you receive them.
In Aleph:
- All that remains to be done in Aleph is to change the ‘Process Status’ from ‘BARA In Transit’ to ‘SMU General Loan’. The system will not do this automatically; as the status was not system generated (you changed it manually).
- Go to Items along the top menu and then Change Item Process Status, as described earlier in this chapter. In the window that pops up, leave the ‘Item Process Status’ field blank. It will default to ‘SMU General Loan’. Scan or enter the item’s barcode and click OK.
- In the ‘Item’ tab, scan the barcode and verify that the item’s status is no longer ‘BARA In Transit’.
- If the item was not processed correctly by the receiving institution and does not have the BARA In Transit status, just check the item in using the ‘Override Date’ button to match the date on the BARA Return slip. This will remove the item from the loaning patron’s account without incurring fines. Its status will already be ‘SMU General Loan’.
- Items will need to be sensitized before re-shelving, so take them to the Circulation desk to be sensitized and double-discharged.
