Receiving Faxes
The fax will automatically generate any incoming documents, unless it is out of paper or toner. Upon receipt of a fax message:
- Complete a blue ‘Record of Fax Received’ form. Place the fax in an internal envelope, and paperclip the completed blue form to this envelope.
- Look up the patron’s telephone number in the computer system.
- If a patron belongs to a university department that has its own fax machine, send the fax to the department’s machine, and send the original through inter-departmental mail to the addressee.
- If the addressee belongs to a department that does not have its own fax machine; you are unable to locate their phone number; or if their name is illegible or absent from the cover page, write a note on the form stating why the recipient has not been notified.
- If you are able to contact the person, say when the Circulation desk is open, and have them come by and pick it up. For any department on campus, send the fax through the inter-departmental mail.
- If you reroute a fax, sign the fax received form and indicate how it was passed to the appropriate person.
- When patrons come in to pick up the fax, make sure that it is signed for on the appropriate place on the form.
