How to Make a CAUL-CBUA Card
First, clarify it is not an Interlibrary Loan the patron wants. Explain that CAUL-CBUA cards are for in-person borrowing only. The patron must physically go to the lending library to pick up the items. Next, verify that the patron has no outstanding fines or overdue items and is currently registered as a SMU patron (as we only issue CAUL-CBUA cards to SMU students).
The cards, patron information labels, and barcodes are kept in the filing cabinet at the Circulation Desk in a folder labelled 'CAUL-CBUA'.
You do not need to create an entirely new record for these cards, as they are never used by Novanet patrons to sign out Novanet items. We still need to note that the patron has the card, so open the patron's SMU record in Aleph, and then:

The cards, patron information labels, and barcodes are kept in the filing cabinet at the Circulation Desk in a folder labelled 'CAUL-CBUA'.
- On the back of the card, place the barcode and a patron information label.
- The 'Patron type' will be either ASINU (Undergraduate), ASING (Graduate), ASINS (Staff), or ASINF (Faculty).
- The 'ID Number' will be the patron's 'A' number.
- The expiry date is September 30, the same as the patron's SMU privileges.
You do not need to create an entirely new record for these cards, as they are never used by Novanet patrons to sign out Novanet items. We still need to note that the patron has the card, so open the patron's SMU record in Aleph, and then:
- Go to 'Additional IDs' under 'Patron Registration' in the 'Patron' tab.
- Click the 'Add ID' button on the top right-hand side.
- 'Key Type' is '02 Personal ID'. You cannot have two entries as barcodes in one record. As the card will not be used for Novanet items, we add it as another ID just so there is a record of the barcode and the patron who uses it.
- 'Key Data' is the barcode number on the ASIN card.
- 'Verification Type' is always '00'.
- 'Verification' is the last four digits of the patron's phone number.
- 'Status' is 'AC Active'
The patron statuses for new CAUL-CBUA records (for patrons outside Novanet only) are:
- '75 ASIN Undergraduate', '76 ASIN Graduate', '77 ASIN Staff', and '78 ASIN Faculty'
The borrowing privileges for CAUL-CBUA patrons are:
- Undergraduate: three weeks for books; seven days for periodicals and videos
- Graduate: three weeks for books; seven days for periodicals and videos
- Staff: three weeks for books; seven days for periodicals and videos
- Faculty: 90 days for books; seven days for periodicals and videos
