Dealing with notices and returned mail
Notices
It may be easier to try to reach the patron by phone to let them know the contents of the notice. Otherwise, all notices must be mailed to the patron. Note any items that have previously been returned as invalid address information and update the patron's account Global Block.
(Email failed - new email address required. Your initials and date)
Returned Mail
Mail is sometimes returned from Canada Post to the Circulation department because of invalid mailing addresses, or because the patron no longer lives at the address we have on file. If this happens, you must make a note in the patron’s record. Do not remove the current mailing information from the record, however, after the patron's address information put - (No longer valid). This way, if a notice does print, we will not waste postage mailing out the notice. Also place a Global Block on the account stating that the mailing address, email, or phone number is no longer valid. Use Global Block (20) Returned Mail, including a small note as to what the issue is, initial and update.
Try to contact the patron by phone. If this is no longer valid, make that note in the record as outlined above.
When a student updates their address or phone number, be sure to remove the Global Block. For more information, see "Global Blocks" in Chapter 8.
