Finding a price and adding it to the Cataloguing record
Make sure that you find the same item. Verify title, author(s), copyright year and format. If you cannot find the same book, take the information for the closest possible copyright year.
Occasionally, you will not be able to find a price, because the book is no longer in print.
There is a staff member designated as the person who looks up prices. That staff member is responsible at the third-overdue stage – preceding the book bill – to look up prices for books. We also do this for lost books. In a pinch – remembering that a student who comes in and says she lost a book doesn’t need a price right away – the Head of Access Services will look up a price.
As a very last resort, look in the bibliographic information and determine the number of pages, multiply by .15 per page, add 15.00 for binding and then 20.00 for processing to arrive at a price. (This usually occurs for determining the price of thesis or out-of-print Government Documents).
If the item is a government document or periodical, you need to ask the Acquisitions department to provide a price for you.
For items that already have a price in Aleph, check to make sure the price is current. Update the price, if needed.
Check for prices using the following sources:
- Coutts is our normal supplier. Always start searches in Coutts. You will need a login.
- Abebooks
- Alibris
- Convert the price to Canadian funds, if necessary.
- Converter tool: http://www.xe.com/ucc/
- Add $20.00 to the price for processing fees.
Adding the Cost to the Catalogue Record
From the patron record, double click on the item to be priced:
Prices are entered in the Cataloguing module. From Circulation, select ‘Push to Items’. The Cataloguing module will open a new window. The Cataloguing module will open in a new window. It always opens in '2. General Information (1)'
Select '3. General Information (2)'.
Under this tab, ‘Price’ is the fourth box down:
Enter the amount but do not use the dollar sign. Click ‘Update’, and close Cataloguing module.
