Booking in Aleph
There will be times when staff will need to create a booking through Aleph. Before proceeding with the Booking, you will want to check which Study Rooms are available.
From the following example, you can see that Study Rooms (depends on example) are booked from (depends on example). Therefore, you will want to make your new booking for Study Room (depends on example).
- Within the Admin tab, click on the 'Booking' node to view all the currently active bookings.
- Scroll down until you reach the date and time in question, at which point you can decipher which rooms are available for the required time.
From the following example, you can see that Study Rooms (depends on example) are booked from (depends on example). Therefore, you will want to make your new booking for Study Room (depends on example).
Each Study Room has a Catalogue record, therefore has a barcode. At the Circulation Desk there is a laminated sheet listing all the Study Rooms and their corresponding barcodes.
Alternatively, to find the barcode for the Study Room you want to request, you can do a search for 'SMU Study Room' in the Aleph 'Search' tab or in the OPAC, or just copy and paste the barcode from the Admin screen.
Within the Item tab, scan the barcode to call up the particular Study Room you want to create a booking for.

On the right hand side of the screen, click on the 'Booking Request' button. A new window will pop up on the screen. Input the patron's barcode (or ID number). Click 'OK'.
In the next pop up window, you will need to input the details of the request.

- Confirm the Patron ID/Name.
- Confirm the 'Booking Date From' and 'Booking Date To'.
- Select the 'Booking Hour From' and the 'Booking Hour To'.
- Click 'OK'.
Remember: Create bookings in one hour increments, to be consistent with having a Claim Slip printed for each hour.

Click 'OK', and then select a different time or room.
If the room is available, repeat the steps to create a booking for the second hour, if necessary.
After creating the bookings, visit the patron's account to confirm the bookings.
There is the option to use the 'Override' button. For instance, if you wanted to book two hours at once in Aleph, this can be accomplished by clicking the 'Override' button when prompted after the error message.
